Whether you’re a tenant renting a home or a property owner leasing your home out, you play an important role in maintaining the character and quality of life in Stonebridge Ranch. While tenants may not be permanent residents, they are still valued members of the community and should be familiar with the amenities and guidelines that make this association a great place to live.

Even if you don’t live in your Stonebridge Ranch property, you’re still ultimately responsible for ensuring it complies with community standards. This section provides key information to help you support your tenants and maintain your property. Be sure to also explore our Resident Homeowner hub, as many of the policies and updates shared there apply to you as a property owner.

Leasing Your Property

If you plan to lease your Stonebridge Ranch home, it’s important to familiarize yourself—and your tenant—with the community’s rules and lifestyle expectations. Consider addressing these guidelines in your lease agreement or discussing them directly with your tenant. Doing so will help ensure a positive experience for everyone involved.

Note: This list is not comprehensive and does not cover every topic an individual property owner may choose to discuss with a tenant or include in a lease. The association does not mediate leases or leasing disputes; such relationships are the responsibility of the leasing owner and tenant.

LEASING INFORMATION

If you choose to lease your SRCA property out to a tenant, there are a number of important factors to consider before writing your lease. Below we’ve listed some of the more common topics you may want to address with your tenant–either via conversation or in a binding way in your lease–which relate specifically to the Stonebridge Ranch guidelines and lifestyle.

LEASE REGISTRATION AND LEASE TERMS (AREA & DURATION)

We listed the basics regarding rental terms here. See Section 9.20 “Leased Properties” in the SRCA Covenants, Conditions & Restrictions (CC&Rs) and the Policy for Leasing of Single Occupancy Dwellings and Residential Use for complete details. Stonebridge Ranch homeowners electing to lease their homes in accordance with SRCA’s governing documents is now subject to a Lease Registration Policy.

  • Properties must be leased in their entirety. Single-room, single-floor, or similar rental arrangements are not permitted.
  • All leases must be in writing and “provide that the terms of the lease are subject to the provisions of the Governing Documents.”
  • All leases must be for six (6) months or more. Transient, vacation, and short-term rentals are not permitted.
  • The property owner must provide the tenant with access to the SRCA Governing Documents (which are always available at this website).
  • All landlords must register their lease with SRCA by submitting the Lease Registration Form and non-refundable $200 registration fee within 30 days of lease execution. The Board may request a copy of the rental lease at any time, which must be provided within 10 days.

Tenants may utilize SRCA amenities such as association pools, playgrounds, and open areas only if the owner transfers such privileges.

TRANSFER OF PRIVILEGES

Purpose

The owner of a Stonebridge Ranch residential property uses the Transfer of Privleges form (linked at the bottom of this page) to transfer their SRCA amenity privileges to their tenant household annually. The form must be completed each year by both the owner and the tenant. (Per SRCA Covenants, Conditions & Restrictions >, residential properties in Stonebridge Ranch may be rented only in their entirety—no partial home or single-room rentals are permitted—and they may be rented for a period no less than six months.)

To transfer privileges, the owner of record must be in “good standing” (i.e. have a balance less than $50) on their SRCA account. An owner can check their account balance via their Resident Portal >.

Processing Fee

  • Along with the Transfer of Privileges form, a $100 processing fee must be paid at the SRCA office (6201 Virginia Parkway). The fee is payable by check or money order only—make it payable to “SRCA”.
  • The SRCA does not mediate which party (the owner or the tenant) pays the $100 fee.
  • The fee is due in full no matter the date of submission—no prorated fees are available.
  • The owner of the property is responsible for any fees incurred by a returned check.

Transfer Terms

  • All tenant ID cards expire on April 30th of the following year. Residents must submit a new form and pay the $100 processing fee to renew at that time.
  • For the duration of the transfer, the privileges are available only to the permanent members of the tenant household, and the owner of record retains no amenity privileges for that season.
  • Each permanent member of the tenant household must show proof of residency. Adults age 18+ must show a Texas Driver’s license with Stonebridge Ranch address AND a billing statement with Stonebridge Ranch address. Children age 0-17 must show a Birth Certificate or Vital Record, Adoption Certificate, and/or Passport.
  • Lost or stolen cards may NOT be replaced, and the SRCA issues NO refunds.
  • The owner of record must sign their portion of the form—it may not be signed by a representative of a property management company. The tenant must also sign the form. (See page two of the form linked at the bottom of this page.)
  • Forms may be emailed to STONEB@Ciramail.com > or delivered to the SRCA office at 6201 Virginia Parkway. Office hours are Monday to Friday, 8:30 a.m. to 5 p.m. (If you so choose, during non-office hours you may leave the form and $100 check or money order in the mail slot by the front door.)
  • Forms are not processed until the SRCA receives the $100 processing fee. Upon receipt, processing may take 3 to 5 business days. Forms are not processed on weekends.
  • We will contact the tenant when the tenant ID cards are ready for pick-up at the office. The tenant must pick them up in person during office hours by showing proof of identification (such as a Texas driver’s license).

Change of Address

The Transfer of Privileges form does NOT does not serve as a Change of Address. If an owner needs to make a change of address, they may do so at any time in their Resident Portal. Alternatively, they may call the SRCA office at 214-733-5800 (available Monday to Friday, 8:30 a.m. to 5 p.m.).

OBTAIN YOUR SRCA ID

We ask residents to carry their Stonebridge Ranch IDs with them when utilizing our common areas and amenities and to access many of our events.

HOME UPKEEP BLOG

Few upkeep activities keep our villages looking better than the collaborative effort of homeowners to maintain their homes and ensure their yards meet lawn standards. Let’s all work together to make Stonebridge Ranch look stunning this year!

TRASH BINS

Per the SRCA Modification Design Guidelines trash totes and recycling bins can be placed out for pick up “no earlier than 8 p.m. on the day prior to the trash pick up day. They must be properly stored within 24 hours.” To avoid a compliance violation on their account, leasing owners should ensure their tenants are aware of and comply with this requirement.

LAWN MAINTENANCE

Whether a property owner transfers lawn care upkeep responsibilities to a tenant or not, it is the property owner’s ultimate responsibility to ensure that lots within Stonebridge Ranch adhere to the standard of a “well-maintained, safe, clean and attractive condition as outlined in Section 9.12 of the SRCA Covenants, Conditions & Restrictions (CC&Rs)The standards include:

  • proper seeding and consistent watering and mowing of all lawns
  • pruning and cutting of all trees and shrubbery
  • prompt removal of all litter, trash, refuse and waste
  • watering of all landscape
  • keeping lawn and landscaped areas alive, free of weeds, and attractive

THE WATER BILL

When considering who will pay the property water bill, keep in mind that this bill generally goes up in the summer when more water is needed to keep the lawn at the premier standard required by SRCA guidelines.

FENCE MAINTENANCE

If you lease your property, your tenant may be best-equipped to spot early-stage maintenance issues around your home’s exterior. One common part of the property that may need attention is fencing. Depending on how your property irrigation is set, your sprinklers may affect the uniformity of your fence staining. Per the SRCA Modification Design Guidelines:

  •  All wood fence “…pickets are required to be treated through either painting or staining. All treated fences must be properly maintained to create a uniform appearance. Any finish requires approval and must be of muted earth tones in the brown or light gray range. Any repairs made to a treated fence shall result with the entire fence blending in appearance.”

EXTERIOR HOME IMPROVEMENTS

Tenants need to be aware that all exterior home improvement projects must follow the SRCA Modification Design Guidelines. Further, many exterior updates require the property owner to submit an application to the Modification Committee and receive approval prior to project start. When owners enter a lease relationship with a new tenant and the tenant requests exterior updates, it may be a good idea to discuss this process and the time it can take.

SRCA COMMUNICATIONS

The SRCA sends official association communications (such as assessments and compliance notices) to the mailing address we have on file. If a property owner does not create a private online account and note his/her mailing address to the account, the SRCA has no choice but to send official communications to the property address located in Stonebridge Ranch. Issues can arise if there is a miscommunication between the tenant and leasing owners regarding mailed SRCA notices.

THIRD-PARTY INFORMATION SHARING

All official account communications between the association and a property owner are private. The SRCA does not release information about a property, including specifics regarding compliance violations, to neighbors, tenants, or any other party. However, when leasing their homes, some property owners choose to work with third-party property managers, etc.

Thus, if an owner wishes a property manager or a tenant to have direct access to SRCA communications, the owner must submit a third-party consent in writing to STONEB@Ciramail.com. Owners who choose this option should be aware that the third party will then have access to all information related to the property account.
