Update from the GM: Annual Meeting Update, Community Operations, and Community Partnership

Stonebridge Ranch GM Update 3.6.26

As of today, we are six days away from the 2026 Annual Meeting and Election, scheduled for Thursday, March 12th. We are pleased to share that the Association has officially achieved quorum required for the Annual Meeting.

According to the latest election report from VoteHOANow, the Association has received 1,435 votes submitted online, representing 15.16% participation across 9,465 eligible accounts.

In addition to the online voting totals, the Association has also received the following paper submissions:

• 74 Absentee Ballots
• 30 Proxies for Quorum Only
• 5 Assigned Proxies

 

How to Vote

Several voting options are available to homeowners. Below is a brief explanation of the different methods used for the Annual Meeting.
Online Voting: Homeowners may submit their ballot electronically through the secure election platform, VoteHOANow. This is the fastest and most common method used by residents to participate in the election.
Absentee Ballot: An absentee ballot allows a homeowner to submit their vote in advance without attending the Annual Meeting. Once submitted, the ballot is counted as the homeowner’s vote in the election.
Proxy – Quorum Only: A quorum proxy allows a homeowner to designate another individual (often the meeting chair or secretary) to count their property toward the quorum requirement for the meeting. This type of proxy helps ensure the meeting can legally occur, but it does not direct how a vote should be cast in the election.
Assigned Proxy: An assigned proxy allows a homeowner to designate another person to attend the meeting and vote on their behalf during the election.
Homeowners who have not yet participated are encouraged to submit their vote prior to the deadline.
As a reminder, proxy and absentee ballot forms must be received by the Association no later than Wednesday, March 11th at 3:00 PM.

Behind the Scenes

Behind the scenes, the Board of Directors and the onsite management team continue balancing several priorities. In addition to the day-to-day operational needs of a community the size of Stonebridge Ranch, teams are also finalizing preparations for the Annual Meeting and coordinating next steps related to the remediation and future rebuild of the main office.

 

Did You Know? Social Media and Association Governance

From time to time, conversations about Stonebridge Ranch occur on neighborhood social media platforms (administered by SRCA residents). While these spaces can allow neighbors to connect and exchange information, they can also create confusion when Association matters are discussed outside of official communication channels.

 

Did you know that the Board of Directors has formally adopted a Social Media Interaction Policy?

This policy provides guidance to Board members and committee volunteers regarding how Association matters should be handled in online discussions. While Board members are homeowners first and serve the community as volunteers, they also carry a fiduciary responsibility when serving in their official capacity. As such, the Board adopted policy establishes clear boundaries regarding how governance matters are communicated.

Under this policy, Board members and volunteers are not authorized to speak on behalf of the Association or engage in official Association matters on social media unless specifically directed by the Board of Directors. This ensures that information shared with residents is accurate, complete, and consistent with the Association’s governing documents and adopted policies.

Even when shared with good intentions, discussions about Association matters on social media can sometimes result in incomplete information, misunderstandings, or commentary that does not reflect the official position of the Association. For that reason, residents seeking information about community matters and/or operations are encouraged to rely on the Association’s established communication channels, where questions can be reviewed and addressed appropriately. See all our communications platforms all in one place here: Stonebridge Ranch Linktree

Stonebridge Ranch is a large and dynamic community, and clear, consistent communication helps ensure that all residents receive the same accurate information.

Residents are always welcome to contact the management office directly with questions or concerns so the appropriate team can assist.

 

Communication and Service Standards

Earlier today, the Association shared an update regarding the community phone system. One of the advantages of our system is the ability to monitor service metrics such as incoming calls, outgoing calls, and voicemail activity.

These tools help ensure the management team maintains a consistent level of responsiveness and accountability when assisting residents.

If you reach the office while staff are assisting other homeowners, we encourage leaving a voicemail message. Our service standard is that voicemails are returned within 24–48 hours.

Courtesy Patrol: New Partnership! 

The Association’s partnership with Parrish Security concluded on March 2, 2026. Security services for Stonebridge Ranch are now being provided by American Heroes Security, which has assumed patrol responsibilities throughout the community.

Residents should note that the security patrol phone number remains the same, so the number already listed in community communications may continue to be used.

American Heroes Security is responsible for monitoring and patrolling the community’s common areas and amenities as part of their service to the Association.

Community Events

Planning is currently underway for our inaugural SpringFest / Easter event, scheduled for later this month. Additional details will be shared soon as planning continues.

Community events are an important part of bringing neighbors together and reinforcing the sense of connection that makes Stonebridge Ranch such a special place to live.
