What Goes Into Every Beach Club Project Team Meeting?

Beach Club Project Team at Work - Fall 2025

Residents see updates about the Beach Club Project every week on the Friday Flash, but behind those updates are regular, detailed meetings where a large, collaborative team works together to shape one of the most meaningful amenity investments in Stonebridge Ranch history.

Every gathering is a working session where homeowners, SRCA staff, and project partners examine plans line by line, timeline by timeline, and budget category by budget category.

The goal is simple: deliver a beautiful, functional Beach Club that meets the community’s expectations on time and within the original budget, with opening day set for Memorial Day Weekend 2027.

Homeowner Volunteers: The Resident Voice in Every Discussion

Homeowner volunteers representing committees such as Amenities, Social, and Modifications are active participants in each meeting. These residents review designs, ask the questions their neighbors are asking, advocate for usability and quality, and ensure that the future Beach Club reflects how our community actually lives and gathers.

They experience the plans the same way future guests will: through the lens of daily use, family moments, and long-term enjoyment. Their input is invaluable in balancing function with fun and ensuring the design truly serves our residents for years to come.

SRCA Staff Leadership: Making Sure It Works in Real Life

Alongside homeowner volunteers are SRCA directors whose teams will ultimately run and maintain the Beach Club. These participants include the General Manager, Assistant General Manager, Maintenance Director, Landscape & Grounds Director, Lifestyle Director, and Communications & Media Director (who also serves as the secretary in the Beach Club Project meetings keeping the minutes).

These staff members evaluate every detail from maintenance practicality to event flow to long-term operational needs. They ensure the Beach Club isn’t just stunning on opening day, but that it remains exceptional and manageable for decades to come.

Our Expert Partners: Each Bringing a Critical Piece of the Puzzle

Every meeting involves technical expertise from our highly skilled project partners, each responsible for a different portion of the Beach Club’s future success. Our project partners include:

  • Kimley-Horn: Designing the Lakeside Setting
    • Kimley-Horn advances the civil and landscape plans, refining everything from drainage to pathways to lakefront views. They ground each design choice in both visual appeal and long-term durability.
  • Aqueous Engineering: Engineering the Pools
    • Aqueous brings forward the aquatic systems, walking the team through circulation, filtration, sanitation, sustainability, and safety, all core elements of an enjoyable pool experience.
  • Conduit Architecture + Design: Shaping Buildings and Spaces
    • Conduit presents architectural drawings for the Pavilion, Veranda updates, and operational facilities. They ensure the Beach Club retains its charm while gaining much-needed functionality.
  • Pritchard Associates: Keeping the Build on Track
    • Pritchard Associates guides the team through schedules, construction sequencing, permitting, and risk reduction to make sure the project stays on time and within budget.

Inside the Meetings: A Close Look at What Happens

Each meeting is a working session – a deep dive into every step toward completion. Topics regularly include:

  • Reviewing updated architectural or civil drawings
  • Discussing the pros and cons of each material, down to tiles, decking surfaces, lighting, seating, and even sprinkler heads
  • Evaluating long-term maintenance implications of each design decision
  • Monitoring the budget in real time
  • Ensuring no scope creep that would increase costs
  • Preparing for City approvals and milestones
  • Coordinating timelines for groundbreaking, construction phases, and inspections
  • Tracking schedule progress toward the Memorial Day Weekend 2027 opening

These meetings are not ceremonial—they are hands-on, detail-heavy, decision-intensive work sessions focused on stewardship of both the amenity and the finances supporting it.

Budget Stewardship: Every Detail Counted, Every Dollar Accounted For

A constant theme in every meeting is financial responsibility. The Beach Club Project Team reviews scope and costs with precision and transparency.

Key commitments include:

  • The project will not exceed the original cost estimate.
  • Both upfront construction costs and long-term maintenance costs are considered before approving any detail.
  • Every square foot of design—the main pool, the children’s pool, the new pavilion, veranda updates, operations spaces—is evaluated for affordability and durability.
  • The Beach Club budget remains fully separate from the annual SRCA operating budget and is funded through the Special Assessment.

This approach ensures that the project progresses without compromising the ongoing services, maintenance, and lifestyle programs the community enjoys year-round.

In Summary: The Beach Club Project Team Keeps the Project Moving Toward Opening Day

A major responsibility of these meetings is shepherding the project through its critical milestones, including:

  • City submissions and reviews
  • Permit progress and required revisions
  • Construction sequencing
  • Contractor coordination
  • Scheduling groundbreaking
  • Long-lead material planning
  • Safety reviews
  • Budget checkpoints

Again, the biggest milestone on the horizon is the one the entire team is working toward with purpose and urgency:

Opening the new Beach Club on Memorial Day Weekend 2027.

Every meeting, every drawing review, and every budget check is tied to that goal. It drives the pace and focus of each work session.

A Commitment to Quality, Transparency, and Community

The Beach Club Project Team meets frequently and diligently because this amenity matters deeply to Stonebridge Ranch. Every discussion, design review, and budget check reflects a shared commitment to delivering a premier, long-lasting amenity that stays within the approved budget, meets all timeline expectations, preserves the lakefront character residents cherish, and creates a place where families can gather, celebrate, and make memories for generations.
