Every dollar collected through assessments is entrusted to the Association to maintain our community, preserve property values, and provide the services residents expect. One of the best ways we do that is through strong internal controls.
What are internal controls?
Internal controls are the checks and processes that help ensure Association funds are spent appropriately, transactions are properly reviewed, and financial information is accurate.
Some examples include:
- Reviewing invoices before payment to ensure work was completed as approved.
- Requiring documentation to support expenditures.
- Reconciling bank accounts each month to verify all funds are properly accounted for.
- Monitoring budgets and investigating significant variances.
- Maintaining clear financial records that support transparency and accountability.
These processes help reduce errors, safeguard Association assets, and provide confidence that homeowner assessments are being managed responsibly.
Strong financial controls also make annual audits more efficient and help the Board make informed decisions based on reliable financial information.
Financial stewardship is an ongoing responsibility, and maintaining strong internal controls is one of the many ways we work to protect the long-term financial health of our community.
Strengthening Financial Stewardship
While internal controls are part of our daily financial operations, Management is also working alongside the Finance Committee and Board of Directors to continually strengthen the Association’s financial oversight and administrative processes.
Current initiatives include:
- Developing a more comprehensive procurement process to improve accountability, documentation, and consistency in purchasing.
- Reviewing vendor contracts and procurement practices to ensure competitive pricing and responsible use of Association funds.
- Enhancing financial reporting and budget monitoring to support informed decision-making.
- Evaluating operational processes that improve efficiency while protecting Association assets.
- Supporting long-term financial planning through ongoing collaboration with the Finance Committee and Board.
These efforts are designed to strengthen transparency, improve accountability, and ensure every assessment dollar is managed responsibly.
Looking Ahead: 2027 Budget Planning
Planning for the Association’s 2027 operating budget is now underway. Over the last few months, Management in collaboration with the Finance Committee has been working on evaluating operational needs, reserve funding, capital projects, and contractual obligations before presenting a proposed budget for Board consideration.
Thoughtful planning today helps ensure the Association remains financially strong while continuing to maintain community assets, deliver quality services, and preserve property values for years to come.
